To drive a University vehicle, rent a vehicle on behalf of the University or to be reimbursed for driving your personal vehicle on University business, you must be an approved driver.  Mileage reimbursements will be given only if the driver is approved.  All applications must be renewed annually.  In addition, if you plan to drive a university van or rent a van for university business you must complete a CD ROM training course that can be completed in the Security Office.  The steps to become an approved driver are listed below

1)                  Obtain a University Vehicle Driver Approval Application form.  This form is located on the Shenandoah University intranet site at: http://www.su.edu/intranet/v4_form.asp (the form is entitled “Driver Approval Application”) or it can be picked up from the Office of the Vice President for Administration and Finance.

2)         Complete the form and have it signed by the appropriate Vice President, Dean or Department Head.

3)         Return the completed and signed form and a copy of your driver’s license to the Executive Assistant to the Vice President for Administration and Finance.  The application will be used to obtain a Motor Vehicle Report (MVR).  Based on the MVR, the application will be approved or denied.  The applicant will be notified of the approval or denial by the Executive Assistant to the Vice President for Administration and Finance within three business days.  If the application is approved, the Executive Assistant will post it on the Business Office web page at http://www.su.edu/businessoffice/driver/

4)         Once approved, you must renew your application annually.  The expiration date for each approved driver is listed on the approved driver listing on the Business Office web page http://www.su.edu/businessoffice/driver/.   There is a specific form on the Shenandoah University intranet site for driver renewals.  It is entitled, “Driver Approval Renewal Application”.  The link for the form is http://www.su.edu/intranet/v_4form.asp. Once you obtain the necessary signatures, return the renewal form to the Office of the Vice President for Administration & Finance.  If the renewal application is approved, the Executive Assistant will change your expiration date on the approved driver listing on the Business Office web page at http://www.su.edu/businessoffice/driver/.    

5)        If at any time an approved driver receives a violation, the Office of the Vice President for Administration & Finance must be notified within five days.

6)        Questions regarding confidentiality or the appeals process can be directed to the Office of the Vice President for Administration & Finance.
