FR 4.6 Recruitment materials and presentations accurately represent the institution’s practices and policies. (Recruitment Materials)
In Compliance
The Shenandoah University website is the principal tool for recruitment, and the University’s Twitter feed and Facebook and Youtube accounts also provide important links to prospective students. The Office of Marketing and Communication (OMC) is responsible for oversight of the university’s website. This oversight assures that all messages produced by the university are consistent with the university’s mission and are accurate. The university publishes a wide range of print brochures, such as the Undergraduate Viewbook, Undergraduate Programs flyer, or specific graduate program literature such as the Physician Assistant Studies, which are given to prospective students at various stages of the admissions and recruitment process. In addition, presentation pieces such as the Daily Presentation and the Transfer Open House Presentation are used by Admissions staff while on the road or during campus visits. Each and every document or online recruitment piece is designed to accurately reflect institutional policies and practices. Admissions policies and program and degree descriptions are described in identical terms, and reflect official policies published in the Undergraduate Catalog and the Graduate Catalog.
OMC is charged with approving all materials before they are released for printing and dissemination. The university has developed a recruitment marketing process to accurately develop integrated marketing strategies to achieve the university’s annual recruitment goals and objectives and maintain integrity of message and visual presentation of materials to various audiences. Each year, the Offices of Admissions and Marketing & Communications meet with vice presidents and deans and directors of various academic units to develop marketing plans that target specific goals and objectives. These plans are reviewed by all parties, and tactics are placed in a production schedule. All content is written by the Office of Marketing & Communications staff and reviewed by admissions and academic unit department heads or their representatives. Photography, copy, graphic design and video are integrated so that materials reflect institutional mission, vision, and graphic and editorial standards. Information is portable to other media outlets.
Recruitment materials for undergraduate and graduate programs are composed, designed, and produced with institutional brand drivers — as well as individual program goals, features and benefits — in mind. Brand drivers include 1) accomplished professors who provide focused individual attention; 2) small, highly interactive classes; 3) exceptional opportunities beyond the classroom to gain experience and apply skills; and 4) innovative global initiatives that expand understanding and perspectives. Content is written in short, engaging, first-person narrative that includes messaging from deans or academic directors, highlights of faculty expertise and/or student accomplishments; student or alumni testimonials; program specifics (majors, minors, certificates), student life programming; academic clubs; and calls to action (contact admissions, schedule a vision, or apply now). Photography, graphic use of colors, and logos all follow institutional graphic standards. Content that appears in printed materials is also integrated in other media, including the university website and social media.
